The Opportunity

We’re on the lookout for a detail-oriented Executive Administrative Assistant to support our client’s president. The successful individual will manage various administrative duties, oversee high-level projects, ensure prompt execution of tasks, and craft visually engaging presentations and documents using PowerPoint.

This is not just a “do what I say” position. We need a partner, and someone who will help a very busy executive get more done and avoid getting bogged down in details.

Position Description

  • Act as the main liaison for the president, managing communications like calls and emails.
  • Arrange the president’s meetings and events, taking care of scheduling, logistics, and material preparation.
  • Handle the president’s agenda, organizing appointments and guaranteeing readiness for all engagements.
  • Conduct research and assemble data for top-tier projects, producing necessary reports and materials.
  • Craft, refine, and deliver eye-catching presentations and documents via PowerPoint.
  • Collaborate with various departments to guarantee project completion and address pending tasks.
  • Monitor project phases and milestones, ensuring targets and deadlines are met.
  • Compose and revise written documents as required.
  • Safeguard confidential data with utmost discretion.
  • Undertake any additional responsibilities as needed.

Experience

  • 5 to 10 years of experience in an executive administrative capacity, ideally in a corporate or executive backdrop.
  • Stellar communication and relationship-building aptitude across the organization.
  • Proven expertise in project management and handling multiple projects concurrently.
  • Capable of working autonomously and effectively managing time.
  • Familiarity with Microsoft Office Suite or GSuite tools.
  • Mastery in Microsoft PowerPoint.
  • Exceptional attention to detail and organizational capabilities.
  • A commitment to maintaining confidentiality.
  • Adaptability in a dynamic setting with shifting priorities.

Qualifications

  • Bachelor’s degree in business administration, communications, or a similar discipline is desirable.
  • Ability to think ahead, predict challenges, and prepare.
  • A “heads-up” approach and the ability to foresee challenges and bring them to attention or prepare possible solutions.
  • Some travel to major conventions but not extensive.
  • Willing to go the extra mile.

Education

Bachelor’s degree in business administration, communications, or a similar discipline is desirable.
