Position Description

The role of Executive Assistant is to provide administrative support to ensure efficient operation of the office. The successful candidate will support managers and employees through a variety of tasks related to organization and communication. The scope of this position includes communicating via phone and e-mail to ensure that all administrative duties are completed accurately and delivered with high quality and in a timely manner.

  • Effectively handle general telephone and inquiries to the company and direct to team members.
  • Liaise with team members to organize and schedule meetings/appointments as required.
  • Provide support to the Executive Assistant, including diary management for the Chief Executive and Chairman.
  • Organize and book travel arrangements as required.
  • Reception duties, including meeting and greeting visitors.
  • Filing paperwork as required, including keeping accurate meeting paperwork.
  • Formatting and finalizing reports and documents for the team.
  • Minute meetings and conference calls as required.
  • Assist with company seminars, conferences and other events as necessary.
  • Creation of PowerPoint presentations and documents.
  • Exceptional Excel skills.

Experience

  • Experience working in an administrative role.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office, Excel, and PowerPoint.
  • Knowledge of office management systems and procedures.
  • Experience dealing pro-actively and efficiently with inbound communications.
  • Experience updating and managing a database.

Education

Post-Secondary Education.
