A leading provider of specialized courier services is looking for an Operations Specialist to join their dynamic team at their Toronto location. Position Description

The Operations Specialist plays a vital role in ensuring the seamless coordination of shipments from start to finish. Working full-time on-site at the Toronto office, this role requires a proactive, detail-oriented individual who thrives in a fast-paced environment. You’ll be at the heart of time-critical logistics, ensuring every shipment is handled with precision and care. This position also requires participation in an on-call duty phone roster for evenings and weekends.

  • Customer Order Management: Receive and process customer orders, providing expert guidance and support.
  • Shipment Coordination: Input order details into internal systems and create air freight bookings with airlines.
  • Global Collaboration: Coordinate shipments with offices and partners worldwide to ensure timely deliveries.
  • Documentation & Compliance: Assist with obtaining and preparing required shipping documents, such as CITES, FDA, USDA, and other regulatory documentation.
  • Temperature-Sensitive Handling: Prepare and manage validated temperature-controlled packaging units for sensitive materials.
  • Customer Communication: Keep customers informed of shipment progress through clear and timely updates.
  • Operational Support: Carry out general office and warehouse duties as needed.
  • Availability & Flexibility: Participate in an evening and weekend duty phone roster, with occasional overtime required.

Experience

  • 4+ years of experience in logistics, air freight, or a related industry is preferred.
  • 3 years of office-based work experience.

Qualifications

  • Technical Proficiency: Strong skills with MS Office, Windows OS, internet research, and email communication.
  • Communication: Exceptional verbal and written communication skills with a professional and courteous phone manner.
  • Time Management: Ability to prioritize tasks and manage multiple projects in a fast-paced environment.
  • Geographic Knowledge: Familiarity with global geography to support international logistics.
  • Attention to Detail: Precision in managing shipping details and documentation.
  • Flexibility: Willingness to adapt to shift changes, evening/weekend duties, and occasional overtime.
